Administrative Assistant / Training Advisor Position

Position Summary
The Administrative Assistant/Training Advisor will undertake and ensure efficient operation of the office, assists with key operational duties, and supports the work of management and other staff while keeping to the Indigenous Corporate Training Vision, Mission and Values. In addition the position will be one that will help increase sales - B2B or B2C.
This is an in-office position, at an hourly rate of $27/hour, on a renewable 3 month contract, with full time employment possibly after that.

Office Admin Duties
- Use word processing and other software to prepare reports, memos, and documents (including Google Workspace).
- Plan and coordinate staff/internal events in collaboration with other staff.
- Provide input towards administrative duties and procedures to be more efficient.
- Answer general email and form inquiries.
- Check mail - at the office and at the PO Box
- Ship training materials and other items as needed
- Receive shipments either at the office or the storage locker as needed
- Keep storage area organized
- Direct other inquiries to the appropriate team members.
- Other administrative duties as required.
Training Admin Duties
- Ensure that all post purchase communications (by form, chat, email or phone) are dealt with in a timely manner (within 24 hours during the week and on Monday for those received Friday afternoon and over the weekend).
- Ensure that the associated tasks (ex Asana) are completed in a timely manner.
- Ensure that all orders from the Indigenous Relations Academy are verified, and properly fulfilled as per (a) above.
- Ensure that all private group enrollments are completed in a timely manner (ex Asana).
- Ensure the timely distribution of material to the trainers and clients.
- Support trainers and staff with meeting, travel and other arrangements.
Job Requirements
- Experience with office administration, records management, and/or event planning.
- 1-3 years of experience in an office setting or equivalent.
- Detailed and focused with excellent customer service.
- Access to a vehicle
- Basic knowledge of CRM, task managing software (ex. Asana, HubSpot) is a benefit.

- Organization: Set priorities, develop a work schedule, monitor progress towards goals, and track details/data/information/activities.
- Plan: provide input for strategies to move ICT forward, set goals, create and implement actions plans.
Training Provided
We provide comprehensive training to set you up for success, including self-guided ICT courses, task management training using Asana, and CRM onboarding with HubSpot. You won’t be on your own, we have a supportive team and plenty of friendly faces ready to guide you through onboarding and help you feel confident every step of the way.
